Privacy Policy - GPDR Compliance

Introduction

DotPLM respects your right to privacy. This privacy policy has been developed to inform you about the privacy practices followed by DotPLM in connection with its websites, products and services.


This privacy policy does not apply to DotPLM services offered by or through our partners, or other third parties, or other third-party services or websites, and we encourage you to read the privacy policies of those parties. 


This privacy policy will inform you about what data is collected, how we use such data, where data is processed, how you may opt out of your data being used, the security provisions around storing your data and how to correct or update your data.

What information do we collect?

We collect and store information from you when you: 

  • Contract with DotPLM to fulfil various IT and associated technology support services
  • Place an order for goods or services with DotPLM
  • Communication via email, post or telephone, in course of our operational business
  • Email correspondence
  • General documentation exchanged through a consultancy engagement
  • Any data you provide us, for example any reference data, example data, or spreadsheets you require us to process as part of a consultancy engagement.
  • Through our IT services we may also collect technical data such as IP address, host names etc. This is a by-product of our consultancy engagement, and is not intentional activity on its own.


How do we use personal information?

DotPLM treats personal information as confidential. Your information, whether public or private, will not be sold, exchanged, transferred outside of our company, or given to any other company for any reason without your consent.


What legal basis do we have for processing your personal data?

DotPLM will process your data with respect to “consent” and “contract”.


This means that we will ask your consent for any activity that falls outside of normal email exchange, documentation of services, and the general activities of our consultancy engagement.


We will only do this with respect to the consultancy engagements we agree to, the preparation of those contracts, and general administration of those contracts.


When do we share personal data?

DotPLM treats your data confidentially and personally.


We would expect to rarely share your personal data, however if this were so we would request your permission in advance.


For example, we would request your permission if we used any reference material about our consultancy engagements as part of seeking further consultancy work. 


As another example, if we were to present at IT events about our work, we would seek your consent before sharing any information that includes personal details.


Where do we store and process personal data?

DotPLM use standard IT cloud services, through recognised mainstream suppliers (Microsoft, AWS, …) to conduct their business. For example: 

  • cloud email
  • cloud services (OneDrive etc)
  • code repositories (Github etc)

Where we use code repositories, these are private (we may share access with you), but never public / open source.


How do we secure personal data?

Standard IT cloud services are naturally protected through password access. We do not use shared accounts.


Also note that access to standard IT cloud services is through HTTPS / SSL.


We manage any backup of data in these services (for example creating our own snapshot of a OneDrive folder), in standard IT recognised way. These backups are typically also held in the cloud, on recognised services. Wherever we store any such archives, they are encrypted with password protection, and still subject to the retention approach described elsewhere.


Wherever possible, we select options within these services to host data on EEA compliant data centres. Further detailed information can be provided upon request to our Data Controller.


How long do we keep your personal data for?

We will hold your personal information based on the following criteria: 

  • For as long as we have reasonable business needs, such as managing our relationship with you and managing our operations 
  • For as long as we provide goods and/or services to you
  • Retention periods in line with legal and regulatory requirements or guidance

Data deletion will be done using standard IT business approach (for example, deletion of OneDrive data would be done manually, and then expire naturally after the OneDrive backup scheduled is exhausted).


Your rights in relation to personal data

DotPLM is committed to being as open as it can be in terms of giving people access to their personal information.


Individuals can find out if we hold any personal information by making a ‘subject access request’. 

If we do hold information about you, we will:

  • give you a description of it
  • tell you why we are holding it
  • tell you who it could be disclosed to
  • let you have a copy of the information in an intelligible form. 

To make a request to DotPLM for any personal information we may hold you need to put the request in writing. 


If you agree, we will try to deal with your request informally, for example by providing you with the specific information you need over the telephone. 


If we do hold information about you, you can ask us to correct any mistakes by, once again, contacting DotLPM in writing. 


We will require you to provide identification in order to verify the authenticity as the data subject. 


We will make reasonable effort to respond to and process your request in a timely manner.


If we cannot delete information about you (for example, some financial data about past contracts that we are required to keep for legal reasons), then we will tell you about this.


In compliance with the European Union rules on privacy, you have the following rights established by law:

  • We use the data you submit only for purposes identified in the section of this privacy policy. 
  • You have the right to review your personal data that DotPLM holds and check it for accuracy. 
  • You have the right to correct data in the case that errors may be found in our records. 
  • You have the right to request that any of your personal data be erased. i.e. right to be forgotten.
  • You have the right to obtain and reuse use your personal data for your own purposes
  • You have the right to request that DotPLM restrict the processing of your personal data under certain circumstances.
  • You have the right to object to our processing of your personal data

Use of automated decision-making and profiling

We do not use any automated decision-making or profiling software in our activities.

Use of cookies and other technologies


Our website collects cookies through use of a Google Analytics link.


This is standard behaviour to help us understand who is using the website. We review this information, but nothing is done to identify precise individuals. You are encouraged to contact us, or review Google Analytics online documentation for further information.


You can opt out of cookies through standard browser settings.


Linking to other websites / third party content

On our website we may occasionally provide links to other websites or 3rd party content. We make no endorsement about this information, and you should take responsibility for making any decisions based on your review of 3rd party content.
